Why Microsoft is removing this AI feature from Outlook

Microsoft is removing an AI-powered personalisation feature from Outlook worldwide in October 2026, in an effort to scale back underused Copilot integrations. The company is retiring Themes by Copilot, which allowed users with a Microsoft Copilot licence to generate and apply customised themes in Outlook.

As per an update posted by Microsoft for IT administrators, the feature will be retired worldwide from mid-to-late October 2026. The change will affect the New Outlook app on Windows, Outlook.com on the web and the Outlook app for macOS.

Microsoft has not publicly explained why it is discontinuing the feature. However, reports suggest that low user adoption could be one of the reasons behind the decision.

“Themes by Copilot in Microsoft Outlook will be retired worldwide from mid- to late October 2026. Users with a Copilot license will lose the ability to select or revert to these themes, though current themes remain until changed. No action is required,” Microsoft said in a press release.

Users who have already applied a Copilot-generated theme will not lose it immediately. Microsoft has confirmed that existing themes will remain active until users change them.

However, once a user switches to a different, non-Copilot theme, the existing Copilot-generated theme will be permanently deleted and cannot be recovered. Users will also lose the ability to select or revert to these themes after the feature is retired.

Microsoft has stated that no action is required from IT administrators or users ahead of the change.

Themes by Copilot is not the only AI i ntegration that Microsoft has reconsidered.
