Fragmented tax systems face a compliance reckoning

Financial institutions are rethinking how they manage tax documentation and compliance as increasingly complex reporting requirements expose the weaknesses of fragmented technology stacks. For years, organisations have relied on separate tools to collect forms, validate information, monitor customer records and manage remediation. With these processes operating independently, teams have often been left to connect the gaps through manual work and spreadsheets.

According to TAINA Technology’s Lé-Anne Voges, the problem is not necessarily the capabilities of individual products, but the lack of communication between them. Institutions are now looking beyond standalone solutions towards connected platforms that can support the full tax documentation lifecycle, reducing the need to move information between disconnected systems.

Regulatory change is accelerating that shift. The introduction of CRS 2.0 and the Crypto-Asset Reporting Framework (CARF) will increase the volume and complexity of information financial institutions must collect, validate, monitor and report. More data points, forms and jurisdictions create additional opportunities for information to be lost or inconsistently recorded. A regulatory update that once required a change to one system could now involve several vendors, each operating on a different development and release schedule.

The operational cost of maintaining these fragmented environments is also becoming harder to justify. Institutions must build and manage integrations between collection, validation and record-keeping tools, placing additional demands on internal technology teams. Rather than removing risk, this approach can transfer responsibility for maintaining critical compliance infrastructure to teams that may not have been designed to manage it.

The consequences are often most visible during reconciliation and audit preparation, when evidence must be gathered from multiple systems.
