Build a shortlist around your accounts, workflows and decisions, then make vendors demonstrate the work your team needs to complete.
Choosing social media management software becomes difficult when every demo looks capable and every feature list sounds familiar. Calendars, AI assistants and dashboards can obscure the practical question: can the team complete its work more reliably and efficiently?
The best evaluation begins before a sales call. Define the job, set mandatory requirements and give each shortlisted platform the same tasks. That makes differences visible without relying on a universal best-tool ranking.
Record the team, brands, exact account types, markets, languages, posting volume, inbox activity and reporting audience. Specify the current workflow from brief through approval to response and measurement. Include external clients and occasional reviewers.
Separate essential capabilities from convenient ones. If client approval is required before publishing, that is a gate. If a custom dashboard colour is pleasant but makes no decision easier, it should carry little weight.
Describe outputs concretely. Weekly campaign reporting by content theme is a clearer requirement than advanced analytics. Routing a complaint to customer service with full context is more useful than a unified inbox label.
A lean publishing tool may suit a small team whose main issue is scheduling. Brand-based plans can deserve attention for agencies with multiple clients. A seat-based suite may be appropriate where engagement, reporting or governance carries more value.
