ApprovalMax, the accounts payable automation provider, has launched ApprovalMax Pay for US businesses using QuickBooks Online, extending its approval controls from bill sign-off to payment execution.
Announced at Intuit Connect in Las Vegas, the launch follows more than £98m in payments made through ApprovalMax Pay by UK businesses. The product allows finance teams to approve and pay bills within the same platform, maintaining an audit trail from authorisation through to the release of funds.
ApprovalMax says many US finance teams still manage bill approval and payment through separate systems, creating gaps in oversight of who can release company funds. Bank portals can give payment staff broader access than their roles require, while paper cheques rely on manual authorisation and can be intercepted or altered outside company systems.
ApprovalMax Pay links each payment to the approved bill and, where applicable, its associated purchase order. Approved information carries into the payment workflow, reducing the need for manual data entry between systems.
The platform uses pre-funded wallets that support payments in more than 30 currencies through local payment rails. Role-based permissions separate payment preparation, approval and release, while two-factor authentication is required to release funds. The system also checks supplier payment details against the last successful payment, flagging new or changed information before funds are released. Any changes to a bill after approval trigger a fresh approval requirement.
Payment activity is logged to show who raised, approved and paid each bill. Completed transactions also sync back to QuickBooks Online, maintaining a connected record for reconciliation.
